2016 AGM
FRIDAY 1st APRIL at the
ROYAL BEACH HOTEL

1.    Chairman’s Welcome
In the absence of the Association Chairman and Secretary, S/M Mike Crowe, S/M Don Edwards the Vice Chairman chaired the meeting. S/M Peter Lacey acted as Secretary. The Chairman welcomed those present and expressed his, and the committee’s disappointment, at the poor turnout again this year (thirty one including wives plus two extra for the Gala Dinner).

2.    Apologies for Absence
S/M Mike Crowe; S/M Ken and Jenny Bradford; S/M Ivor Dando; S/M Ken and Muriel Waugh.

3.    Minutes of 2015 Meeting
The Chairman said that some of us may have some interesting points to raise and that we had had no answers from the actions of the last AGM.

4.    Matters Arising
Change of Reunion Date – There has been no response from the Association Chairman from this action in the last AGM Minutes. The Chairman asked if the current date is too early and clashing with holidays? There was discussion over whether to keep the date the same, have it later (end of September), May was suggested but we would have to avoid Whitsun. A member asked whether we were in competition with the caravan season which starts about now.

S/M Derek Moore proposed we have the reunion at the end of April (depending on Easter) this was seconded by Vivienne Lacey and unanimously carried.

Feedback is requested from all members, not just those present, about the timing of the reunion. These minutes will be posted on the website and a notice will be put in its ‘Flash messages’ and we will give it six months to see if there is any response, before going to the significant cost of mailing members.                                    Action: All Members.
Amalgamation with the Greenies – There has been no response from the Association Chairman for this action in the last AGM Minutes. The Chairman said our numbers are seriously reducing at reunions and if this continues the viability of holding them will be brought into question. He understands that the Greenie numbers are also very low, this was confirmed by a Shipmate, therefore, it would be in both of our interests to merge.
It was said from the floor; we have a badge and they do not therefore we should not merge, a second voice agreed with this! It was also said that the Greenies were not too keen on merging.
S/M Peter Edmondson suggested that the Greenie Association and our reunions be arranged at the same time and in the same hotel. We could perhaps join together for dinner and have an informal discussion with each other and explore a possible way forwards. S/M Derek Moore said he like this idea.
S/M Peter Edmondson proposed a joint weekend with the Greenies, S/M Peter Lacey seconded the motion and the meeting voted in favour, with none voting against.
Secretary/Chairman to discuss this possibility with Isle of Wight Tours.                                             Action: Association Chairman/Secretary.
Blandford Ceremony – There has been no response for the Association Chairman on whether we should continue to be represented and who should go, Tom Stanton and Brian Cox used to go the Ceremony at Blanford Forum which commemorates the Gallipoli Landings at which the HMS Collingwood Division took part, each year and represent the Association.. It was agreed that we should continue to be represented, S/M’s Roger Birkett and Peter Lacey said they were willing to attend. Association Chairman/Secretary to liaise with HMS Collingwood and establish dates and who we need to contact for security reasons.    Action: Association Chairman/ Secretary.
Discounts when Visiting Dockyards - There has been no response from the Association Chairman for this action in the last AGM Minutes. From the floor it was said that WRENS get a discount and can include four people. IOW Tours got and overall discount when we visited Chatham, and the question was asked if we could obtain a discount as individuals. The Chairman said he would try to find someone to talk to during a visit to the dockyard on Saturday 2nd April. Action: Vice-Chairman.

5.    Welfare & Archive Report
S/M Ken Waugh was unable to be with us but has submitted the attached Welfare Report. 

Members who have Crossed-the-Bar
In addition the Helen Mackintosh referred to in the Welfare Report we have been advised of the following who have Crossed-the-Bar, S/M’s Andrew Leask, William Hook, Rick (Jock) Richmond and Fred Newton from Jersey.
A minutes silence was observed at the Gala Dinner in honour of those who had Crossed-the-Bar.

6.    Welfare Representative Vacancy/Appointment
As can be seen from the Welfare Report S/M Ken Waugh has had to resign from this role. The emphasis is sending cards to the families and attending funerals where possible. The Chairman asked for all to think about taking on this responsibility, and to let one of the committee members know if you are interested, he has also written to Ken thanking him for all he has done, the meeting echoed this. The meeting hoped that Ken will be able to attend future reunions and passed on good wishes to him and his wife Muriel.

Post Meeting Note: Vivienne Lacey said she would be prepared to take on the role of Welfare Officer. Committee members briefly discussed this, and thought if she became an Associate Member then they could co-opt her to fulfil this role, this was also supported by S/M Derek Moore. In order to ensure we would not be going against the Association Constitution, committee members asked for a copy of it. The Association Chairman and Archivist are request to e-mail a copy of the Constitution to Committee members. This copy should be post 2012 when it was agreed updates were necessary.        Action: Association Chairman/Secretary/Archivist 

7.    Archive Report
The was no Archive Repot produced but S/M Ken Waugh has said he is willing to continue as the Association Archivist, for which the Association is grateful. Members were reminded to send Ken any photographs/memorabilia to Ken for archiving.

8.    Treasures Report
Our Treasurer, S/M Dennis Patterson, presented an audited Balance Sheet, copy attached, the meeting unanimously approved the accounts.
At the last meeting it was agreed to contact all members who had not paid their subs from 2013, this has now been done and all those who have not responded will be deleted.
Association Memorial at the National Arboretum – The Treasurer reported that the running of the National Arboretum has now been taken over by the Royal British Legion. Before any application for a memorial is even considered, a non-refundable fee of £3,000 is required. Only approved Stonemasons can be used and the Treasurer has received a design from one of them and it looks like the total cost will be in the order of £6,000 to £7,000.
There are three memorials associated with HMS Collingwood at the arboretum; a tree in memory of those killed during the bombing raid plus two personal dedications. It was asked why we were trying to do something without involving HMS Collinwood, they should be approached to establish whether they would be prepared to contribute towards a proper memorial to Collingwood personnel.
We need to know a lot more facts before the Association can approve going ahead with this project, a number of people expressed concern as to whether this is the best use of Association money as once the memorial was established there would be on-going maintenance costs.
The Treasurer agreed to write to HMS Collingwood about any ties they would like with this and if a donation was possible.                        Action: Treasurer.

A member asked if were are affiliated with the Federation Naval Associations? We are not currently affiliated. The cost of becoming affiliated is £15 and they also offer weekend ‘events’ for much less than we currently pay. S/M Peter Lacey proposed we become affiliated and S/M Peter Edmonds seconded the proposal. The motion was carried with no votes against, Treasurer to arrange affiliation.                            Action: Treasurer.

9.    Membership Secretaries Report
The Membership Secretary, S/M Peter Lacey presented his report, a copy of the Report is attached. The Membership Secretary said that there was some slight discrepancies between the number of members in his records and those of the Treasurer and that they were working to resolve the differences.                         Action: Membership Secretary/Treasurer.

10.    Website
The Webmaster and ‘Shipmate’ Author, S/M Roger Birkett, reminded all of the website and what it contained and that more data was needed, especially for the Shipmate. He advised the meeting that he prints nineteen copies of the Shipmate to send out by post (one is for the archives), if you have no access to a computer and would like to receive a printed version please let him know as he would be happy to print more and post them out. The main reason the Shipmate is published ‘on-line’ are the cost that would be involved to print and post 252 copies! 

11.    Slops
The Slops Manager, S/M Peter Edmondson, said he had enough ties and scarfs to supply the fleet! He has items available and they will be on display at the Gala Dinner for you to buy. He also said the list of slops can be found on the Web-site and anything you purchase is sent out postage free.

12.    Any Other Business
- S/M Dennis Patterson asked if S/M Derek Moore would be prepared to run the raffle this year, Derek agreed and was thanked, and he reminded everyone to bring a prize to the Gala Dinner.
- S/M Peter Lacey said he had received a telephone call from CPO Chris Baker form the HMS Collingwood Open Day Planning Committee asking if we would like a stall at the Open Day on Saturday 4th June. Collingwood is open from 0700 to set up stalls and open to the public from 0930 to 1700. We have to send in the Application and supporting data no later than 20th April if we would like a stall, it was generally agreed that it would be a good idea but volunteers would be needed to run it. Our Association Chairman liaises with HMS Collingwood and he is actioned to pursue this. It should be noted that the final of the Field Gun Competition takes place at HMS Collingwood on this day.                Action: Association Chairman/ Secretary.

13.    Venue for next Reunion
S/M Derek Moore proposed Tillington Hall, Staffordshire and this was carried unanimously.

14.    Close of Meeting
The Chairman thanked all those present for attending and closed the meeting and announced ‘Up Spirits.

​      WELFARE REPORT 2015

It has been a very quiet year on the welfare front.
The only “Crossing of the Bar “reported was
Helen McIntosh. She had died the previous year
Seems we are all living longer!
Please remember to advise the Welfare Officer as soon as you hear of any of our shipmates who are ill or Crossed the Bar
I am looking to resign as Welfare Officer, due to domestic problems, but will carry on till we get new Welfare rep so 
Have a think about a replacement. It’s a rewarding job and you meet some lovely people.
I wish to thank the rest of the committee for all the help and support over the last few years
